LA NOMADICA TERMS & CONDITIONS

  1. Definitions

The following terms are used with specific meanings throughout this agreement:

  • “We”, “us”, “our” refer to the destination event management, planning, and travel services offered by Innerbloom Mind and Body trading as La Nomadica.
  • “You”, “your” refer to the client, event host, participant, guest, or party, whether booking as an individual or on behalf of a group or corporate entity.
  • “Services” refers to event planning, concept development, creative direction, venue sourcing, travel coordination, logistics, and on-the-ground execution provided by La Nomadica.
  • “Website” refers to www.lanomadica.com.au.
  1. Scope of Services & Pricing
  • 2.1. Included Services: The specific scope of event management, creative direction, planning, and travel services included in your booking will be detailed in your custom proposal or service agreement.
  • 2.2. Exclusions: Unless explicitly stated in writing, the following are not included: international and domestic airfare, airport transfers, departure taxes, visa fees, customs charges, personal travel insurance, discretionary gratuities, personal expenses, additional food and beverage outside the agreed itinerary, and third-party vendor fees not billed directly through La Nomadica.
  • 2.3. Price Adjustments: Quotations and estimates are subject to change prior to formal booking and receipt of initial deposit. Once full payment or the agreed payment schedule is confirmed, event pricing is fixed, except where client-requested changes, third-party vendor fee increases, or tax rate changes occur.
  1. Payment Schedule & Engagement Deposit
  • 3.1. Retainer Deposit: A non-refundable deposit of 10% of the total estimated event budget is required upon signing to engage La Nomadica and commence planning, venue sourcing, concept development, and vendor coordination. This deposit will be applied toward your final billing balance.
  • 3.2. Final Balance: Full payment (100%) of the remaining balance must be completed no later than 1 month (30 days) prior to the event or travel start date, unless an alternative milestone schedule is agreed upon in writing.
  • 3.3. Third-Party Vendor Terms: You acknowledge that external suppliers (e.g., boutique venues, charter flights, caterers, specialized entertainers) often operate under their own strict payment schedules. Where third-party vendors require payments or non-refundable deposits prior to our standard 1-month deadline, you agree to adhere to these vendor-specific timelines to secure the bookings.
  • 3.4. Payment Methods & Surcharges: Payments may be made via Direct Bank Transfer or Credit/Debit Card. Processing surcharges (e.g., Stripe or credit card processor fees) may apply and will be passed on where applicable.
  1. Booking Confirmation

Upon receipt of your deposit or initial payment, you will receive:

  • 4.1. A confirmation email and tax invoice within 24 hours.
  • 4.2. A follow-up onboarding email with your project outline, planning timeline, or program details.

Please review all confirmation materials carefully and notify us immediately of any errors or discrepancies.

  1. Cancellation & Refund Policy

Due to the advance financial commitments required for securing venues, suppliers, travel bookings, and staffing:

  • 5.1. Non-Refundable Retainer: The 10% planning retainer deposit is strictly non-refundable once work has commenced.
  • 5.2. Cancellation Prior to 1 Month: Cancellation made more than 1 month (30 days) prior to the event or travel arrival date will incur a 30% forfeit of the total booking price, plus any non-refundable vendor deposits already paid on your behalf.
  • 5.3. Cancellation Within 1 Month: Any cancellation made within 1 month (30 days) of the event or travel arrival date will result in a 100% forfeit of the total booking price.
  • 5.4. Third-Party Vendor Refunds: In the event of cancellation, refunds for third-party vendor fees will strictly depend on each individual vendor’s terms. La Nomadica is not responsible for recovering non-refundable payments made to third parties on your behalf.
  • 5.5. Unused Services: No refunds, credits, or adjustments will be given for non-arrivals, late arrivals, early departures, or unused event/travel services. Comprehensive travel and event cancellation insurance is mandatory.
  1. Client Approvals & Vendor Contracts
  • 6.1. La Nomadica acts as an agent and manager for coordinating third-party suppliers (e.g., venues, caterers, transport, entertainment, decor).
  • 6.2. Timely approvals from you regarding concepts, menus, vendor selections, and schedules are required. Delays in approvals may result in price increases or supplier unavailability, for which La Nomadica cannot be held responsible.
  1. Travel Insurance

Comprehensive travel and event protection insurance is a mandatory condition of booking with La Nomadica.

  • 7.1. You are required to hold insurance covering, at minimum: trip cancellation/interruption, emergency medical and evacuation expenses, personal liability, and loss of luggage/equipment.
  • 7.2. You acknowledge that your insurance is your sole protection against non-refundable expenses in the event of cancellation. La Nomadica reserves the right to request proof of insurance coverage at any time.
  1. Passports, Visas & Entry Requirements
  • 8.1. You and your guests are solely responsible for ensuring all passport validity (minimum 6 months validity from return date), visas, health documentation, and entry permits are obtained prior to travel.
  • 8.2. La Nomadica accepts no liability for financial loss, delays, or cancellations resulting from incomplete, invalid, or incorrect travel documentation.
  1. Liability & Force Majeure
  • 9.1. Third-Party Suppliers: La Nomadica acts solely as an independent event management and travel coordinator. We are not liable for the acts, omissions, defaults, or delays of independent third-party vendors, hotels, airlines, or transport operators.
  • 9.2. Unforeseen Circumstances (Force Majeure): La Nomadica cannot be held liable or offer compensation/refunds where performance is prevented or impacted by circumstances beyond our reasonable control. This includes, but is not limited to: natural disasters, severe weather events, acts of war, civil unrest, government restrictions, epidemics, border closures, or airport closures.
  1. Behaviour & Venue Damage
  • 10.1. You accept full responsibility for the conduct and behaviour of yourself and your group/guests throughout the event or travel period.
  • 10.2. Any loss, breakage, or damage caused to venues, accommodation, rental equipment, or third-party property by you or your guests will be billed directly to you.
  • 10.3. We reserve the right to terminate our services or a guest’s participation without refund if behaviour is deemed dangerous, illegal, abusive, or disruptive.
  1. Complaints & Issue Resolution
  • 11.1. If an issue arises during your event or travel experience, it must be reported immediately to on-site La Nomadica staff (Alexandra Lindsay) to allow us the opportunity to rectify it promptly.
  • 11.2. Formal written complaints must be submitted within 28 days following the conclusion of your event or travel service by emailing hello@lanomadica.com.au. Failure to raise issues on-site may affect your ability to seek subsequent resolution.
  1. Personal Data & Privacy

We collect and handle personal information solely to facilitate your event planning and travel bookings. Your data is strictly managed in accordance with applicable Australian privacy laws, including the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). Your information will never be shared with unrelated third parties without your consent.
